Administrative Assistant

ReadySet, a growing Oakland-based diversity solutions firm, is looking for a savvy, good-humored Administrative Assistant to support our lean, but mighty team of consultants, and our CEO/Founder, in expanding our reach in the Bay Area and beyond.  

We're looking for someone with:

    • A deep comfort level (i.e., 2-4 years) with managing complex logistics, scheduling, and providing general administrative support to a small team; in particular, someone with experience streamlining the day-to-day responsibilities of a busy executive.

    • Exceptional organizational skills.

    • Familiarity and understanding of practices that streamline internal operations.

    • Interest in developing effective institutional documents which articulate internal processes and procedures, aimed at ensuring consistent client experience and allowing us to scale our growing team Working familiarity with our day-to-day tools, including Google Suite, Calendly, Slack, and Asana; an enthusiasm for pushing the team in the direction of more productive and efficient tools and software.

    • Comfort in handling multiple simultaneous work streams within a constantly changing environment; a can-do, strategic, and solutions-oriented mind set. Ability to project manage and prioritize moving deadlines.

    • Careful attention to detail and quality execution of tasks, as well as solid copy and long-form writing skills.

    • An ability to develop and/or maintain strong working relationships with internal partners and external clients, outside contractors, and 3rd party vendors.

    • Self-direction and initiative in the face of a fast-paced workplace.

We’d be particularly delighted to work with someone who has:

    • Broad workplace IT knowledge and a comfort with troubleshooting technical problems as they arise.

    • A real passion for helping to build and support more diverse and inclusive workplaces.

This role is based at The Port Workspaces in Oakland, California. You'll be part of a partially onsite/distributed work culture, where our meetings are spread between in-person and online. While we utilize apps and tools (e.g., Slack and Zoom) as a common way to communicate and collaborate, being able to be present, in whatever form that it takes, is critical to our work. Subsequently, we need someone who can be onsite, for several hours, at least two days a week.

To start, this will be an independent contractor role, working up to 30 hours per week during normal business hours. It is a part time role with the opportunity to grow into full time.

We offer fair, competitive, and transparent hourly pay. The range for this position is $25 to $35 per hour and we look at factors like your experience to determine our offer.

ReadySet is also looking for a creative and critical thinker to support its strategic engagements. This position is a full-time contract role. Specifically, you will:

  • Conduct assessments. Support ReadySet in conducting client assessments

  • Design engagements. Assist in designing and tailoring engagements in response to assessment findings

  • Develop strategies. Support the development and implementation of company-level D&I strategies

  • Advise on processes. Support process-level analysis, recommendation, and strategic implementation on issues related to hiring, performance management, and promotion.

  • Implementation projects. Support project planning to ensure that D&I strategic recommendations are implemented smoothly

  • Consult on policies. Provide input on internal policy design and implementation for our clients

  • Own projects. Manage discrete projects within engagements with increasing autonomy over time 

We’re looking a for a creative, driven person who has:

  • Masters degree or equivalent work experience in organizational psychology, human resources management, law, policy, business management, or related field.

  • 3+ years working experience with a minimum 2 years experience in a tech company required.

  • Deep understanding of diversity, equity, and inclusion in organizations, as demonstrated through work or volunteer experience. People management experience preferred.

  • Familiarity with organizational psychology, sociology, change management, or critical theory.

  • Project management experience

  • Strong written and oral communication skills

  • Experience with quantitative and qualitative research methods

  • Desire to work in a collaborative environment
